Before your first placement
Once, the account owner sets up “Bank details and fees” in “Agency settings”: the “Bank details” shown on invoices, and the “Fee terms”: the suggested fee as a number of monthly salaries, “Payment within” and the “Guarantee”. These terms are suggested for each placement, and each one can differ.
Record the placement
- Move the applicant to “Hired” on the client's job.
- Press “Record the fee” on their card, or on the item that shows on Today.
- Check the fee, the start date, the payment due date and the end of the guarantee, and add a note on the invoice if you like.
- Press “Save and issue the invoice”. The invoice gets a number that's never used again.
Send the invoice
On the invoice page press “Send to the client”, then choose “By email” or “WhatsApp”. It goes to the client's contacts with “Billing”, and also shows on their private client page. You can print it or save it with “Print or save as PDF”.
Guarantee and replacement
If the employee leaves during the guarantee, choose “Left during the guarantee” in the “More” menu, then “Replacement placed” once you've placed someone else. The fee stays owed: the guarantee and the money are separate. Today shows guarantees ending soon and replacements owed.
All placements
You'll find your placements under “Placements and fees”, with what's owed, overdue and received this month, and filters such as “Unpaid” and “Overdue”.
Recording new placements is part of the Agency plan. After the plan ends, the placements on record and their invoices keep working. When the money arrives: How do I record a client's payments and follow up what's owed?
